Annual Requirements & Deadlines

In accordance with the ASFA Constitution, By-Laws, and current policies, all affiliated and member clubs are required to annually submit their updated officer roster. This must include current mailing addresses, the name and address of the designated Club Liaison, and the club's official website. This information and your annual dues must be on file on or before May 1st of each year.

Forms must be entered by an officer of the club and NOT the ASFA/Club Liaison. All form fields must be filled in and payment received for this to be a valid club membership renewal.

How to Join & Maintain Status

Phase 1: Becoming an Affiliate Club

This initial status allows a club to start hosting official ASFA-sanctioned trials.

  1. Check Eligibility: Your club must support the goals of the ASFA and be capable of hosting sanctioned lure field trials.
  2. Gather Documents: Prepare your club's constitution and by-laws, a list of current members, and the names and complete addresses of your Board of Directors.
  3. Submit Application: Complete the official affiliation form, pay the application fee, and send the package to the Membership Chair.
  4. Board Approval: The ASFA Board of Directors will review and vote on your application within 90 days.

Phase 2: Upgrading to Full Membership

For clubs that have proven their ability to actively host trials over time.

  1. Build Experience: Your club must be in active existence for at least two (2) years. (Note: The club cannot be operated for the financial benefit of its members).
  2. Host Trials: During those two years, the club must successfully host at least two (2) sanctioned lure field trials each year.
  3. Apply for Upgrade: Submit the Full Membership application along with your updated constitution, by-laws, and trial history.
  4. Final Approval: The Board will vote within 90 days. (If rejected, the club has the right to appeal the decision at the next Annual Convention of Delegates).

Phase 3: Maintaining Club Status

To keep your club in good standing, you must meet two ongoing requirements:

  1. Annual Renewal (Due May 1st): Every year, a club officer must pay the annual dues and submit an updated roster of officers, the designated Club Liaison's contact info, and the club website.
  2. Stay Active: Your club must host at least one ASFA-sanctioned trial every two calendar years. If a club fails to do so, it will automatically revert to Affiliate status.
